1 on 1 Meeting Template (Free, Copy and Paste) with a Real Example

A good one-on-one meeting covers five things: how the person is doing, progress and blockers, feedback in both directions, growth, and the action items each of you takes away. Copy a template below, then see real notes drafted from a sample 1:1.

Updated October 31, 2026.

Template 1: Standard 1 on 1 meeting

For weekly or every-other-week one-on-ones between a manager and a team member.

ONE-ON-ONE MEETING

Manager: [Name] Team member: [Name]
Date: [Date] Next 1:1: [Date]

1. HOW ARE YOU DOING? (team member first)
[Wins, stress, anything on your mind]

2. PRIORITIES AND PROGRESS
- [Project]: [Status, what changed since last time]
- Blockers: [What is in the way, what help is needed]

3. FEEDBACK
From manager: [One specific thing to keep doing, one to change]
From team member: [Anything the manager could do differently]

4. GROWTH
[Skills, goals, projects the team member wants to take on]

5. ACTION ITEMS
- [Task] | Owner: [Name] | Due: [Date]
- [Task] | Owner: [Name] | Due: [Date]

Template 2: Quick 15-minute 1:1

When time is short, keep the four questions that matter.

QUICK 1:1 (15 MINUTES)

Date: [Date]
1. Top of mind: [ ]
2. Progress since last time: [ ]
3. Blockers and help needed: [ ]
4. Next steps: [Task, owner, date]

How to run a better one-on-one

  1. Let the team member go first. Their topics come before status updates.
  2. Turn every blocker into an action with an owner and a date.
  3. Write the action items down and share them right after, so next week starts from the same list.

Real example: what Audio Notes AI wrote from a sample meeting

We wrote a short transcript of a fictional 1:1: a delayed project, a request to escalate with a supplier, a new launch date, a growth request and a complaint about a long weekly meeting. We ran the transcript (a fictional meeting, plain text with no speaker labels, as the app produces it) through Audio Notes AI. This is the output, unedited, with key points shortened to the first 5.

Summary
The team discussed delays in the checkout redesign caused by repeated outages in the payment provider’s test environment and agreed to escalate the issue with the provider’s account manager while updating the product team on the new target release date of the 21st. The employee expressed interest in leading the mobile performance project next quarter and was asked to submit a one‑page plan outlining goals and required resources for review at the next one‑on‑one. Additionally, concerns about the overly long Thursday release meetings were addressed by proposing a strict 30‑minute limit and a written agenda. All parties confirmed the action items and scheduled a follow‑up meeting for the same time next week.

Key points

  • Checkout redesign is delayed due to the payment provider’s test environment being down twice, extending the timeline beyond the original estimate
  • The employee has opened two tickets with the payment provider but has received no response
  • An escalation with the payment provider’s account manager is needed, and the employee will email the manager today
  • The redesign’s target launch date has shifted from the 14th to the 21st to allow proper error handling
  • Product will be notified of the new launch date

Action items

  • Escalate the issue with the payment provider’s account manager by emailing her today
  • Update the product team on the revised checkout redesign launch date of the 21st
  • Draft a one‑page mobile performance project plan, including goals and required team members, and submit it for review at the next one‑on‑one
  • Propose a hard 30‑minute limit and a written agenda for the Thursday release meeting
  • Schedule the next meeting for the same time next week

Because the app does not label speakers, the summary says “the employee” rather than a name, and most action items have no owner. Add the names before you share the notes.

Skip the typing: record the meeting on your phone or upload the recording in your browser, and Audio Notes AI drafts the summary, decisions and action items for you to paste into the template. Try it free in your browser (3 notes or 60 minutes) or get the iPhone app.

Honest limits

  • Audio Notes AI does not label speakers. Owners come from names people say out loud; check them before you send the notes.
  • Recordings can be up to 90 minutes each, and transcription needs an internet connection.
  • Tell everyone you are recording, and follow your organisation’s rules and local law.
